What Happens During a Physical Asset Inventory?

See how Inventory ID plans, tags and documents your fixed assets to deliver clear, reliable records with minimal disruption to daily operations.

A physical asset inventory is more than simply walking through a facility and counting equipment. At Inventory ID, the process is designed to identify, tag and document fixed assets while providing organizations with clear, reliable inventory records they can put to use.

So, what does the process actually look like?

Step 1: Planning & Scheduling

Before the onsite work begins, Inventory ID works with the client’s project manager to develop a detailed inventory schedule. Floor plans are gathered, a master catalog of expected asset types is prepared and a kickoff meeting helps address access needs and other logistics.

The schedule is also communicated across departments so teams know what to expect before Inventory ID arrives.

Step 2: On-Site Inventory

Next, trained Field Data Specialists come directly to the client’s location. Small field teams work through the facility to physically tag and document assets while minimizing disruption to daily operations.

Floor plans help guide the teams and track completed areas. For each asset, specialists collect key information such as its location, model and serial number, creating a more complete record of what the organization owns and where it is located.

Step 3: Reporting & Next Steps

After the onsite inventory is complete, Inventory ID uploads and reviews the collected data for accuracy. Clients receive usable inventory reports in Excel and PDF formats.

Organizations can also choose additional services, including asset valuation and reconciliation of the newly collected inventory data against their current ledger. The resulting information can support purchasing, budgeting and capital planning decisions.

The Result: Clear, Reliable Asset Records

From the initial schedule to the final report, Inventory ID handles the physical inventory process from start to finish. With trained specialists onsite doing the work, organizations get clear, reliable asset records without having to learn new software or manage the inventory process themselves.
