It's an old data-science principle, but it applies just as directly to facilities and maintenance operations: a system built on bad inputs will produce bad outputs, no matter how good the software is.
What "junk" looks like in a CMMS
It rarely looks dramatic. It's a location field left blank. A serial number copied from another asset by mistake. A make/model entered three different ways across three different technicians. On their own, these look like minor inconsistencies. In aggregate, they mean your CMMS is working from a version of reality that doesn't quite match the building.
The downstream cost
When the asset register doesn't reflect what's actually on-site:
PMs get scheduled against the wrong equipment, or missed entirely
Technicians spend time locating assets that aren't where the system says
Work order history becomes unreliable for budgeting, audits, and reporting
Trust in the system erodes, and teams start keeping "shadow" spreadsheets to compensate
