Before You Import or Update Your CMMS Asset Register, Read This

Most CMMS problems trace back to one step: the import. Here's what to check before you hit go. Let me know which length you need, or if this is for email preview text specifically (vs. a meta description or social preview) — the ideal length differs slightly by platform.

Every CMMS migration, system update, or bulk import starts the same way: someone exports the current asset register, cleans it up (or doesn't), and pushes it back in. That single step is where most future maintenance headaches get baked in.

Why the import moment matters so much

Once bad data is in the system, it's live. PMs get scheduled against it. Work orders reference it. Reports get built on top of it. Fixing a data problem after go-live is far more disruptive than catching it beforehand — it means re-work, re-training, and re-explaining to the team why the numbers don't match reality.

What to check before you hit "import"

  • Locations and hierarchy — does every asset have a location that matches your actual site → building → area → room structure, with no leftover "default" or placeholder locations?

  • Duplicates and serial conflicts — are there two records sharing the same asset ID, tag, or serial number?

  • Missing fields — do critical fields (make, model, serial, description) have real values, or blanks that will surface later as scheduling errors?

  • Tagging and evidence readiness — is your barcode/RFID/QR strategy consistent enough that the new system can actually rely on it?
